The Challenge

Vancouver Clinic (VC) faced chronic issues with their previous scribe service provider. High scribe absenteeism, inadequate training, poor hiring practices, and long onboarding delays left providers without reliable support. On any given day, up to 20% of shifts were uncovered, burdening providers with additional administrative tasks. These challenges were compounded by a lack of remote scribe options and overburdened management. After years of unresolved complaints and operational inefficiencies, VC needed a transformative solution.

The Solution

In response to these challenges, The Vancouver Clinic partnered with Scribe-X to overhaul their scribe program. The transition came at a critical time, coinciding with the COVID-19 pandemic, which temporarily paused clinic operations. Scribe-X leveraged this downtime to rebuild the program from the ground up. Key actions included:

  • Transitioning all providers to remote scribe services
  • Conducting one-on-one interviews with providers and clinic management to tailor training programs
  • Retraining and testing existing scribes over eight weeks to ensure they met performance standards
  • Redesigning schedules for advanced planning and establishing robust backup systems
  • Reassessing provider-scribe pairings to optimize fit and continuity

The Results

By partnering with Scribe-X, VC resolved its long-standing scribe challenges. Today, over 99% of shifts are covered by highly trained scribes, ensuring reliable and consistent support. Documentation quality has significantly improved, and after-hours charting has been eliminated. New providers are onboarded in weeks instead of months, and the scribe team is supported by dedicated, responsive management. Most importantly, provider satisfaction has increased, allowing TVC to focus on delivering exceptional care to its patients.
